From Checkout to Guest-Ready: The STR Workflow That Actually Works

The hours between a guest checking out and the next guest checking in are where short-term rental operations either run smoothly or fall apart. Everything your guest experiences starts with what happens in this window. And yet for most operators, this window is managed through a patchwork of texts, calls, assumptions, and hope.

Here's the workflow that actually works — from the moment checkout happens to the moment the next guest walks in the door.

Step 1: Checkout Detection and Job Creation

The moment a guest's checkout time arrives, the clock starts. In a manual operation, this means you need to remember to contact your cleaner. In an automated operation, the platform already knows about the checkout from your reservation data and a cleaning job was created when the reservation was confirmed.

The job should already be in your cleaner's inbox before checkout day. They've seen the property details, the checkout time, the check-in time, and the checklist. There's no confirmation text needed — the job is already accepted or still open for a provider to claim.

What you should be doing during this step: Nothing. The system handled it.

Step 2: Cleaner Arrival and Job Acceptance Confirmation

When the cleaner arrives, they open the Keepers app, start the job, and the status updates to "in progress." You can see this from your dashboard without texting or calling anyone.

If there's a problem — the cleaner can't get in, the previous guest hasn't checked out yet, something unexpected happened — the cleaner can communicate this through the app and you see it immediately.

What you should be doing during this step: Monitoring your dashboard for jobs that haven't started yet and might need attention.

Step 3: The Turnover

The cleaner works through the property room by room, following the checklist in the app. As they complete each area, they check off tasks and capture photos. Issues — a broken appliance, a damaged item, low supplies — get flagged directly in the app with photos attached.

The checklist ensures consistency: every room, every time, regardless of how experienced the cleaner is with the specific property. The photos create documentation that protects both the operator and the cleaner.

What you should be doing during this step: Managing other properties, doing other work, or actually having time to think. The job is running on the cleaner's end without needing you as the communication middleman.

Step 4: Issue Handling

If the cleaner flagged any issues during the turnover, those appear in your maintenance queue immediately — with photos and property attribution. You can triage them, assign them to the right vendor, and track resolution without any separate communication workflow.

Issues flagged at 11am can have a maintenance response scheduled by noon. For most issues, this is enough time to resolve before a 3pm or 4pm check-in.

What you should be doing during this step: Reviewing flagged issues and routing them to vendors if needed. This is the exception-handling part of your job — the interesting problem-solving, not routine coordination.

Step 5: Completion and Quality Review

When the cleaner submits their completion — all checklist items done, all photos submitted — you receive a notification. You review the completion photos from wherever you are: the dashboard on your laptop, your phone.

Is everything to standard? Are the beds made properly? Does the bathroom look clean? Is the kitchen staged correctly? You're looking for obvious issues in the photo record, not doing a physical walkthrough.

A five-minute photo review from your phone before marking a property guest-ready is one of the highest-leverage things you can do as a property manager. Five minutes of review can prevent a guest complaint, a bad review, and hours of damage control.

Step 6: Guest-Ready Confirmation

When photos are reviewed and any issues are resolved, you mark the property guest-ready. The record is timestamped. The next guest arrives to a property that was verified, not just hoped to be clean.

This is the outcome of the workflow: not just "the cleaner said it's done" but "we have documentation showing this property was clean and guest-ready at this specific time."
